HOW TO BE SMART SECRETARY
Definition:
- Secretary : A person employee by another to assist and help all of the office work and help the manager’s jobs
- Smart : Is a inelegancy, competency, ability to understand and solve the problem in the office.
- Smart Secretary : Is a secretary who has inelegancy, competency, ability to understand and have strategy to finish jobs and solve the problem in the office.
The requirements to be smart secretary are called
with 3B:
Brain
Behavior
Beauty
BRAIN
1.
Education
There are two kinds of education that are formal and informal education.
We get formal education from school follow up with to university, of course in
secretary department. But informal education can be getting by following
organization, having course, following the seminar, etc.
2.
Knowledge
Knowledge is very important to help us in finishing all of duties easily.
There are 2 kinds of knowledge:
a)
General knowledge: For example, rival company
information, market information about product’s price, what about popular things
nowadays?? Etc.
b)
Special knowledge: is knowledge that relevant with
secretarial duties. For example, management, banking, event organizing,
business, etc.
3. Ability
There are many kinds of secretarial work that should be had by secretary,
such as:
- Handling telephone
- Handling guest
- Making Correspondence
- Having good communication, etc.
BEHAVIOR
a) Accuracy
As a secretary, accuracy is very important too, because if the
information that announced to the other are not accuracy, so it would make
misunderstanding between the other. So secretary should have accuracy and be
careful in finishing all of duties. For example: Make accuracy and be careful
in speaking, writing, typing, giving information. Etc.
b) Good judgments
Secretary have an authority to make consideration and judgments of
something wrong which happened in office before make decision. Might be our
manager is very busy, even he has an itinerary in other city or country.
c) Perfection
Usually, manager just giving basic instruction for secretary, then as
secretary, we must develop it self until the end. In finishing jobs, we must
not only use time, money, energy efficiently and effectively but also the
result of all must perfection and satisfactory the manager.
d) Resourcefulness
Before actuating, we must start it from thinking. If we want to think rationally,
we will not find that the problem is difficult to solve.
e) Initiatives
Is able to know what something that should be do and how we can handle it
self without over direction from another.
BEAUTY
a) Outer beauty is the beauty that can be
looked from outside
For example: Tall, Short, Bright Skin, body perfect, etc.
b) Inner beauty is the beauty that come
from inside
For example: Polite, Friendly, Patient, etc.
As we know that to be secretary, we shouldn’t have a beautiful face. But
we can make our self looks great and nice with good and polite performance that
combine with our inelegancy and ability in finishing jobs.
